Finsbury Park and Stroud Green Neighbourhood Forum Privacy Notice
Last updated: May 2018

This privacy notice explains how the Finsbury Park and Stroud Green Neighbourhood Forum (and the
working group in place to progress the application for the Neighbourhood Area to be designated by the three
Councils) ('we', 'us' etc.) use your personal information and the ways in which we protect your privacy.

The definition of 'personal information' is any information relating to an identified or identifiable individual.

By consenting to this privacy notice, you are giving us permission to collect, store and process your personal
information specifically for the purposes identified in this privacy notice.

How information about you will be collected and used

Any information collected by us will be used to support the preparation and development of the Finsbury
Park and Stroud Green Neighbourhood Plan (FPSGNP).

We are required to maintain a database of Members of the Forum, which includes names, home and/or work
addresses (depending on type of Membership) and email addresses. This information is used for the
following purposes:

• to verify your eligibility to be a Member (i.e. that you live or work within the Neighbourhood Area, are
an elected official whose constituency forms part of the Neighbourhood Area, or are an Affiliated
Organisation);
• to confirm we have the minimum number of Members as required for a neighbourhood forum;
• to allow us to disseminate information; and
• to support the preparation and development of the FPSGNP.

We may be required to share Member’s personal information with the three Councils (London Borough of
Hackney, London Borough of Haringey, and London Borough of Islington) or other government bodies in
order to comply with the requirements of the neighbourhood planning process (for example, to confirm we
have the minimum number of Members required). In such cases, we will seek to ensure the disclosure is
proportionate for its purpose and will only share personal information on a strictly confidential basis.

We may also collect and use contact details of individuals who are ineligible or who do not wish to become
Members, but who have consented to be contacted about the preparation and development of the FPSGNP.
If this information is requested, we will provide clear information about why it is being collected and how it will
be used.

As part of the preparation and development of the FPSGNP, it may be necessary to collect more detailed
personal information on individuals – for example, on age, disability, gender reassignment, race, religion or
belief, sex, sexual orientation, marriage and civil partnership and pregnancy and maternity. If this information
is requested, we will provide clear information about why it is being collected and how it will be used.

How data will be processed

We will only process personal information where it is necessary to do so to support the preparation and
development of the FPSGNP.

Any processing of the personal information we hold will be done in compliance with Article 6 of the General
Data Protection Regulation (GDPR). The lawful basis for processing of information is that individuals have
given clear consent to process personal information for a specific purpose (to support the preparation and
development of the FPSGNP).

If processing 'special category data' (such as the list of more detailed personal information set out in How
information about you will be collected and used), we will do so in compliance with Article 9 of the GDPR. We
will ask for explicit consent to the processing of this data, and specify the purpose, at the time that we collect
the information.
